About Mail Express File Drop

Mail Express File Drop is a University of Otago service for quickly and easily sending files to others. There is no charge for using the University of Otago’s Mail Express File Drop service.

Mail Express File Drop should not be considered completely secure. Files are encrypted when uploaded to or downloaded from Mail Express File Drop, but are not stored in an encrypted format. If you need to send confidential data electronically, you must encrypt your data beforehand. The Syncplicity Sync & Share service can provide secure file sharing.

Sending files

Mail Express File Drop accounts

If you have a University of Otago staff, student, or "external" username you can use the Otago portal of the Mail Express File Drop service to send a file to anyone as long as you have an associated @otago.ac.nz (this includes @student.otago.ac.nz) email address:

If you do not have an email-enabled username, you will need to create an External Mail Express File Drop account using another email address:

Your External Mail Express File Drop username and password will be deleted after 12 months of inactivity. After your External login details have expired, you will be able to create another External account to use.

Picking up files

You can access the file you have been sent via Mail Express File Drop by clicking on the link in the email.

If the sender has used the "Require authentication to pick up" option, you will be asked to log in, either by:

If the sender has used the "Require password to download and upload files" option, they will contact you separately with the password.

If you have a University of Otago staff, students, and external username, you can also access your sent files on the Mail Express File Drop page. Log in using your University credentials and you will find your sent files in your Inbox:

If you have received a message with a "Reply to Sender" link, you can use that if you need to send files back to that person (up to the expiry date in the message).

Expiry options

When you send your file the default expiration date for collection is one week (7 days). However you can change this in the Message delivery options to:

  • one minute
  • one hour
  • one day

If your sent file is coming up for expiry, you can extend the expiry date for your file up to seven days in the future. To do this:

  1. Go to the Mail Express File Drop page and click on "File send/pickup (Otago)"
  2. Log in using your University username and password
  3. Click on the file in your Mail Express File Drop Sent Items folder
  4. Under Expiration click on the link that extends your expiry date for seven days

You can keep clicking on this link every few days as long as you need to keep the file available, however your files will be deleted from Mail Express File Drop storage 28 days after they have been sent.
